Supplemental Compensation for Administrative Employees Procedures

Supervisors must obtain approval for all supplemental compensation payments before an administrative employee performs an additional assignment by completing the "Request for Approval of Supplemental Compensation" form (http://www.byu.edu/hr/?q=managers/procedures/supplemental-compensation-administrative-employees).

The employee's supervisor and dean/director must sign the approval form. When two departments are involved, the department requesting and paying the supplemental compensation must also sign the request. The Compensation Department will process the approved request.

Once the request has been approved, the employee may begin the additional assignment described on the Supplemental Compensation approval form. When the additional assignment is completed, the “Administrative Employee Request for Payment of Supplemental Compensation” form (https://www.byu.edu/hr/managers/forms/requests/supplemental-compensation-administrative) should be completed, signed and submitted to the Compensation Department. The Compensation Department will process the payment request.

Any supplemental compensation to be paid from a research grant or contract has these additional requirements:

  • The research grant or contract sponsor must give written authorization for payment.
  • The Office of Research and Creative Activities must also give approval.
  • The hourly pay rate may not exceed the employee's regular rate of pay.
  • A log of dates and hours worked must be kept.

Administrative Teaching Part-Time at BYU

Supervisors must submit a "Request for Approval of Supplemental Compensation" form for approval before administrative employees may teach part-time and receive supplemental compensation. In addition to making arrangements in advance, the teaching must be before or after regularly assigned working hours (normally before 8:00 a.m. or after 5:00 p.m.). They may not use lunch hours.

An employee who teaches or performs other supplemental work during regular working hours must make arrangements with the supervisor and director and will not receive supplemental compensation. The "home" department of the person teaching will receive the reimbursement. If compensation is appropriate, supervisors should use the Adjunct Faculty appointment, Continuing Education contract or Request for Payment of Supplemental Compensation form for processing payment.
