Benefits Information for Academic Department Chairs

Key information for successful use of BYU benefits plans.

  1. Always Call DMBA. Always call DMBA (1-800-777-3622) to confirm what the medical, dental, life, and disability plans cover before using them. DMBA will stand behind information provided. Phone calls are recorded so that the information provided can be verified. Writing down the date, time and name of the person talked with at DMBA may be helpful in retrieving the phone dialog if needed at a later date.
  2. DMBA Financial Planners. DMBA provides the services of several professional financial planners for DMBA participants. This is a free service provided by DMBA. The Financial Planners are on campus several days each month. An appointment can be set by calling 1-800-777-3622, ext. 5627.
  3. Life Insurance. Carry adequate life insurance. For questions about life insurance coverage needs, contact a DMBA financial planner.
  4. Plan for Retirement. Know how much savings will be needed for a comfortable retirement. Benefits Services can help with a Retirement Income Projection. Consider taking the “Planning for Financial Security at Retirement” class offered by Continuing Education Conferences and Workshops. Benefits Services personnel, DMBA personnel, and TIAA-CREF representatives are available to make presentations regarding financial planning and preparing for retirement. Take advantage of the planning help available through the DMBA financial planners.
  5. DMBA Disability. DMBA disability is available for full-time personnel who are unable to work because of illness or injury. The plan pays 2/3 of salary after a 45 day waiting period from the last day of work. Application forms have to be completed to initiate the benefit. Faculty, who have been at BYU five years or longer, may have the disability benefits supplemented up to full salary for one year.
  6. Medical/Dental Insurance for Dependents. Dependent children may stay on the Medical/dental/life plans (1) until age 26, (2) until they have employment that offers medical coverage--whichever occurs first.
  7. Surviving Spouse Medical Insurance. If a BYU employee dies, the spouse and family will receive one year of medical/dental coverage without premium charges; however, ten years of Master Retirement benefit credit are required of the employee before ongoing medical insurance is available for spouse and family.
  8. Post Retirement Medical Insurance. Ten years of Master Retirement benefit credit are required before medical insurance is available for employee post retirement medical coverage.
  9. BYU Specific Benefits. An employee who leaves the university after age 55 may continue to have BYU specific benefits--ID Card with Activity Privileges (i.e., Bookstore discount, library privileges, reduced price tickets for athletic and cultural events, use of physical education facilities, parking, and tuition benefits).  Eligibility for these privileges are determined by age and years of service.
  10. Retirement Plan Vesting. The DMBA Master Retirement Plan requires a five year vesting period. Thrift plan monies are immediately vested.
  11. Master Retirement Plan Distributions. If an employee leaves the university after he or she is vested, but before the calculated cash value of the money in the Master Retirement Plan reaches $15,000, the participant may roll the money to the DMBA Thrift Plan or to an IRA. This may help any faculty members who do not achieve Continuing Faculty Status. After the funds exceed $15,000, the only distribution is through an annuity after age 55.
  12. Employee Tuition Benefit. Employees may take up to six credit hours per semester during Fall and Winter semesters. During Spring/Summer terms combined, the hours limit total is six credit hours and may be divided unto three credit hours per term or four credit hours in one term and two in another. Employees need to be hired by the add/drop deadline of a semester or term to be eligible for the tuition benefit. In addition, employees must be admitted to the University and registered for classes before the tuition benefit will apply. Employees are required to obtain approvals from their Supervisor and Dean or Director before enrolling in classes that begin before 5:00 P.M., TBA classes, thesis hours or dissertation hours. Teaching faculty members, not under contract to the University to work during a specific term or semester, (usually spring or summer) may register for as many credit hours as their department permits without paying tuition. New faculty may not register for classes before their regular appointment begins without written approval from the Academic Vice President’s Office.
  13. Tuition Eligibility Rule for Spouses and Dependent Children. Employees are required to be age 30 or have five years of eligible service before spouses and dependent children are eligible for tuition benefits. Spouses and dependent children must be admitted to the University and registered for classes before the tuition benefit will apply.
  14. Spouse Tuition Benefit. Eligible spouses may register for as many undergraduate or graduate credit hours as regular students without paying tuition. When spouses enroll in graduate degree seeking programs, employees are required to pay taxes on the tuition benefit through payroll deduction. Arrangement for the payment of taxes must be coordinated through Benefit Services each semester before the tuition will be paid. The University will not award a second bachelor’s degree regardless of where the first was obtained.
  15. Dependent Child Tuition Benefit. Eligible dependent children may receive a one-half tuition benefit at BYU-Provo or BYU-Idaho (not BYU-Hawaii or LDS Business College). Benefits are available until (1) completion of the first undergraduate degree, (2) completion of 152 BYU-Provo/BYU-Idaho semester hours, or (3) age 30. Marriage does not affect the benefit.
  16. Recruiting. Candidates for employment can review the benefits available by going to Benefits Services personnel are available to meet with prospective faculty on their visits to campus and to answer any questions about the benefits plans.
  17. Orientation. All new employees are required to attend a session of the New University Personnel Orientation, normally held each week. Spouses are welcome to attend. Employees and spouses will then be given an opportunity to sit with a Benefits counselor to enroll in the benefits plans. New employees must be enrolled within 30 days of the hire date or lose the option of enrolling until Open Enrollment in October, effective in January. If that occurs, they will be required to prove insurability for Group Life and Disability Insurance and may be deemed high risk or denied coverage.
